TERMS AND CONDITIONS

Your trip with Appleseed Expeditions, Inc. is considered booked when the minimum number of travelers required have submitted their registration documents including a signed Traveler Agreement and appropriate payment(s) from the group leader or traveler has been received by the company in accordance with the deadline provided.
All prices are per person and in US dollars. Trip price and travel dates are not confirmed until traveler registration and deposit are received. Trip price is subject to increase due to unforeseen government taxes and fees. The price per person provided when registering is based on a minimum number of travelers. In the event of a traveler cancellation, we reserve the right to increase the price per person to cover additional costs. We shall notify you if the price per person increases, and you agree to pay the increased price prior to the start of your trip. Travelers added to your group after the initial registration deadline has past will be subject to a higher trip price.
Payments can be made in full at time of registration or travelers will be subject to the payment schedule provided. Deposits are non-refundable and payments are non-transferable. Payment(s) must be in U.S. dollars and received in our office by the due date given or the trip will be deemed cancelled by you. We accept all major credit cards, account debits and checks. If you pay by check, please write your group name and traveler name on the front of the check. Post-dated checks will not be accepted. Checks should be made payable to Appleseed Expeditions, Inc., Attn: Traveler Billing, 16400 US Hwy 331 S Suite B-2 #263, Freeport, FL 32439. Do not send cash. Failure to strictly comply with the deposit and payment schedules, or any other applicable policies and procedures, will result in the automatic cancellation of pending reservations.
For hotel stays, trip price is based on 4 students per room and 2 adults per room and divided by gender. For dormitory style facilities, adults and students will be separate and divided by gender. If different rooming arrangements are requested, additional charges may apply.
Each traveler is limited to 1 suitcase with a 40 lb. limit, 1 small bag such as a tote or carry-on item and 1 personal item such as a purse. Travelers are responsible for carrying their own luggage and in some cases, this could include carrying bags up stairs. Please note, travelers are subject to baggage fees charged by airlines. If flying, check your airline website to verify all baggage fees and requirements.
Trip Cancellation Insurance
Trip price does not include trip cancellation insurance. In the event of a cancellation, such travelers may lose a portion or all of their funds paid. It is strongly recommended that travelers purchase trip cancellation insurance to recover funds they may lose due to a cancellation. Information on a travel insurance provider will be given during online traveler registration.
All cancellations must be made in writing and received in our FL office by the date of cancellation. Cancellation notices can be sent via email to firstname.lastname@example.org. In the event of a cancellation, the non-refundable deposit cannot be refunded or applied to a different account. If such traveler signs up again at a later date for the same trip after cancelling, there will be an administrative fee of $100 in addition to paying the trip price including deposit. To prevent losing funds paid, we strongly suggest travelers not cancel unless they are absolutely sure they cannot participate in the trip. Appleseed Expeditions, Inc. reserves the right to send any traveler home at any time during the trip due to behavioral issues at the traveler’s expense or legal guardian’s expense in a manner determined by Appleseed Expeditions, Inc. if behavior is deemed as a safety risk to other travelers or causes a disruption to the program. No refunds will be given for any unused portion of the trip.
Refunds will be given on a pro-rated basis. Deposit + 30% of the trip price is retained by Appleseed when cancellation occurs between 90-61 days prior to departure date. Deposit + 50% of the trip price is retained by Appleseed when cancellation occurs between 60-30 days prior to departure date. No refunds will be given if cancellation occurs less than 30 days from your trip departure date. If a trip has been postponed, the refund policy is based on the original travel dates.
Appleseed Expeditions shall have the right, at any time in its discretion and without liability or cost, to modify any trip or portion of a trip to include but not limited to changes in accommodations, activities, transportation or travel dates in the event of any trip being rendered unsafe or the event of unforeseen circumstances such as a change in weather or reasons beyond our control.
This Terms and Conditions, those contained on our website, Traveler Agreement and pre-departure materials constitute the entire agreement of the parties with respect to the subject Appleseed Expeditions and supersede any and all previous communications between the parties, whether written or oral, with respect to such subject matter. This agreement is deemed to be entered into and consummated in the state of Florida and shall be construed in accordance with the laws of the state of Florida. Any legal action relating to this agreement shall be brought and maintained exclusively before the superior court located in Walton County, Florida, USA.
